VANSHA

How we look after your information.

This policy explains what Vansha collects on vansha.app and inside the community platform, who can see community records and how to ask us about your information.

Last updated 26 October 2026

1.Who we are

Vansha is operated by Smartsarks Pvt. Ltd. from Lalitpur, Nepal. You can reach us at [email protected].

Vansha is a digital home for a Samaj: family trees, member records, events, donations, accounting, Pustawali and a public community website. In this policy, “we”, “us” and “Vansha” mean Smartsarks Pvt. Ltd. A “community” is the Samaj that holds an account on Vansha and a “community admin” is the person that community authorises to manage it.

2.What this policy covers

It covers this marketing website, the contact form, accounts on the Vansha platform and records a community stores there. It also covers public pages a community chooses to publish.

A community admin decides what member, family and financial records to enter. For those records, the community is responsible for having a proper reason to collect them. We host and protect that information and we use it to run the service.

3.Information we collect

We collect only what we need to run Vansha and to reply when you contact us.

  • Account details: name, email, phone number, role and login credentials for people invited to a community.
  • Community profile: Samaj name, description, contact details and branding a community adds to its public site.
  • Family and member records: names, relationships, dates, photos, contact details and other fields a community chooses to store in the tree, member list or Pustawali.
  • Community activity: events, attendance, announcements, messages, donations, pledges and accounting entries.
  • Website enquiries: the name, email, phone, subject and message you send through the contact form.
  • Billing details: plan, invoices and payment status.
  • Technical data: browser type, device, IP address, pages visited and error logs, used to keep the service secure and working.

4.How we use information

  • To create and run your community account, including the family tree, events, funds and public website.
  • To show each person only the records their role is allowed to see.
  • To reply to enquiries, walkthrough requests and support messages.
  • To bill for a plan, apply a trial and send invoices or payment receipts.
  • To protect accounts, prevent spam and investigate misuse. The contact form uses Cloudflare Turnstile for this.
  • To understand which parts of the product are used, so we can fix problems and improve Vansha. We do not sell personal information.

5.Who can see community records

Family and member records stay inside the community that entered them. Community admins and managers can see and edit the records their role allows. Members see the parts of the tree, events and announcements their community opens to them.

Vansha staff can access a community’s records only when we need to for support you requested, to keep the service secure, to meet a legal duty or to fix a fault. We do not browse community records for marketing.

6.Public pages

Anything a community publishes on its public website history, events, gallery photos, notices or contact details can be viewed by anyone with the link. Publishing is the community admin’s choice. Taking a page down or removing a person from a public page is done in the community’s public-site settings.

7.Cookies and similar tools

We use cookies and similar storage that are needed to keep you signed in, remember basic preferences and protect forms from spam. Cloudflare Turnstile may set a cookie when you submit the contact form. We do not use these tools to sell your information to advertisers.

You can block cookies in your browser. Sign-in and some forms will not work if the cookies they rely on are blocked.

8.Who we share information with

We share information with service providers who process it only so we can run Vansha:

  • Hosting and infrastructure providers that store the product and backups.
  • Email delivery, so we can send account messages and replies.
  • Cloudflare, for Turnstile spam checks on the contact form.

We may also share information if the law requires it or if we need to protect Vansha, our users or the public from harm. If we transfer the business, community records would move only with the same protections described here.

9.How long we keep information

We keep account and community records while the community uses Vansha. Contact-form messages are kept long enough to answer you and to keep a record of the request. Billing records are kept for as long as Nepal’s accounting rules require.

If a community closes its account, we delete or anonymise its records after a short window used for export, recovery and any outstanding invoice, unless we must keep a copy for a legal claim or a legal duty.

10.Security

We use access controls, encrypted connections and backups to protect community records. No online service can promise perfect security. If we learn of a breach that puts your information at real risk, we will tell the affected community admins and, where the law requires it, the people concerned.

11.Your choices and rights

Nepal’s Individual Privacy Act, 2075 gives you rights over your personal information. You can ask us to:

  • Tell you what we hold about you.
  • Correct information that is wrong.
  • Delete information we no longer need or that we do not have a proper reason to keep.
  • Stop a particular use, where the law allows it.

Write to [email protected]. If the record was entered by your Samaj for example a family-tree entry we will usually ask the community admin to make the change and we will help if the community does not respond or if we hold the record ourselves. We may need to confirm you are the person the record is about before we act.

12.Children and family records

A family tree often includes children. Vansha does not invite children to create their own accounts. A community admin who adds a child’s name, photo or date of birth is responsible for having the family’s permission or another proper reason to store that information.

A parent or guardian can ask us or the community admin to remove a child’s public profile or to correct a record. Email [email protected] and we will take it up with the community that published it.

13.Changes to this policy

If we change this policy, we will post the new version on this page and update the date above. If a change materially affects how we use community records, we will also tell community admins by email or in the product.

14.Contact us

Questions about this policy or a request about your information can be sent to [email protected] or by post to Level 4, Heritage Plaza, Kamaladi, Kathmandu, Nepal.
